Wayfair LTL

Updated 1 month ago

When Wayfair LTL (less than truckload) orders come into SellerCloud, they will be automatically registered for pickup with Wayfair, and the BOL (Bill of Lading) and shipping labels will be downloaded and automatically saved to the order documents.

You can then ship these orders, using ShipBridge to print these documents and mark the orders as shipped.

Follow the workflow's 3 main procedures:

Configuring the settings

  1. Go to company > toolbox > Wayfair > General Settings.

  2. Important! You must select the Enable Wayfair API box to see all the API-related settings on this page.
    1. If you do not see this box, you must contact SellerCloud Support and ask them to enable the setting EnableWayfairAPI on the back-end, so that the box will appear on the General Settings page. After that box appears, check it in order to see all the API-related settings to configure. Otherwise, you will be unable to proceed as described below.
  3. Log into Wayfair's extranet, create an application, and generate the Client ID and Client Secret.
  4. Back in the Wayfair General Settings, paste these values into the Client ID and Client Secret fields.
  5. Click Save Settings.
  6. To download the token, click Action Menu > Download Auth Token > Go. (The token should automatically refresh whenever necessary, but you can always select Refresh Auth Token if Needed from the Action Menu.)
  7. To have orders registered automatically, select Auto Register LTL Orders with Wayfair:
    1. If you enabled this setting, you must also enable Use 24 Hours From Order Date, so SellerCloud knows when to automatically register the orders.
    2. If you do not want orders registered for pickup on specific dates, select Don't Schedule Pickup On for all those days, or custom dates, that apply.
  8. Save Settings.

Registering the orders

If the settings in Step #7-7a, above, are enabled, orders will be automatically registered for pickup with Wayfair.

However, you can manually register orders:

  • For a single order - On the order's details page, click Action Menu > Register Order With Wayfair > Go
  • For multiple orders - On the Manage Orders page, select the orders > click Action Menu > Register Order(s) with Wayfair > Go

In either case, you will be prompted to enter a pickup date before registering order(s):

After an order is registered with Wayfair, the Bill Of Lading and Shipping Label will be downloaded and saved on the order. To view/download them, on the order details page, either:

  • Click the Documents link in the Order Status panel; or,
  • Click Action Menu > Manage Documents > Go

    Here's the Documents page:

Shipping the orders

You can ship Wayfair LTL orders from ShipBridge, using either Scan and Ship or the Orders Grid.

  1. In ShipBridge, click Menu > Options > Shipping tab > scroll to the bottom.

  2. In the Laser printer for order documents field - Choose the printer to use for the Wayfair LTL BOL.
  3. In the Thermal printer for order documents field - Choose the printer to use for the Wayfair LTL shipping labels.
  4. Ship the order from either the:
  • Scan and Ship tab:
    • Scan and verify the order as you would any other order.
    • Instead of standard shipping labels, the Wayfair order documents (BOL and shipping label) will print, and the order will be marked as shipped in SellerCloud.

  • Orders Grid:
    • Select the order(s) > right-click > choose either:
      • Print Channel-Specific Documents - Print documents without marking order(s) as shipped; or
      • Print & Ship Using Channel-Specific Documents - Print documents and mark order(s) as shipped

  1. Either way, ShipBridge will not change the carrier on the order; it will stay with whatever came in from Wayfair. (You will not see the carrier at all in ShipBridge for these orders.) The tracking number used will be the Wayfair Order ID (SellerCloud's Order Source Order ID).
  2. After an order is marked as shipped in SellerCloud, the tracking will, by default, be updated the next time we communicate with Wayfair.
Be aware that Wayfair is selective about when the tracking is sent. They want tracking for LTL orders to be sent only after the truck picks them up, but before it arrives at their facility. To comply with this, please contact SellerCloud Support before going live with this integration to discuss setting up a custom tracking process. This is a billable customization. However, based on the distance between your warehouse and the Wayfair warehouse, as well as the time that pickups are scheduled for, you may be able to use the setting to delay tracking upload until a certain time of day. Important! Using this setting will cause ALL Wayfair orders to be delayed until that set time.
Using Skustack's Ship Verify

If you use Skustack's Ship Verify workflow and want to scan Wayfair LTL orders as they leave the warehouse, you must scan the Wayfair Order ID barcode - the top barcode on the label - as the tracking number, since that is how it is saved in SellerCloud. Scanning the tracking number on the label will not match the shipment to any order in SellerCloud.
