Hayneedle Orders Overview


Once your company is integrated with Hayneedle, you can manage Hayneedle orders directly in Sellercloud.

Automate Order Download and Tracking Upload

To automate the download process for Hayneedle orders and enable tracking on those orders, enable the respective company-specific Hayneedle settings by following the steps below.

  1. Go to Settings > Companies > Manage Companies > Open a company.
  2. Click Toolbox, navigate to Hayneedle, and select General Settings.Hayneedle Settings
  3. In the upper right, click Edit.
  4. Select the Enable Order Download and Enable Order Fulfillment Upload settings.

    Orders download approximately every 30 minutes. The tracking and ship date will automatically be sent to update the order status on the channel.

    Note: There are two subsettings that can be enabled under Order Download. One being Create Orders Under One User which will create all Hayneedle orders under the same username in Sellercloud for ease of sorting and managing the orders. The other setting is called Import Orders as UnPaid which you can enable if you’d like your Hayneedle orders to come into Sellercloud without payment.

  5. Save your changes.

Shipping Method Mapping

Sellercloud’s shipping method mapping tool lets you manage custom shipping methods for each channel you integrate. When configured, the shipping method selected by a customer will be imported along with the order.

To adjust a shipping method for Hayneedle orders, follow the steps below.

  1. Go to Settings > Companies > Manage Companies > Open a company.
  2. Click Toolbox, navigate to Hayneedle, and select Shipping Method Mapping.Hayneedle Shipping Method Mapping
  3. In the upper right, click Edit.
  4. Select the requested shipping method for every Hayneedle method line.
  5. Alternatively, indicate if the selected method is intended for rush orders.
  6. Click Save.

Unship a Hayneedle Order

In Sellercloud, you can also unship an order that has been already marked as Shipped. That is controlled by the Void Postage & Unship Order which is available from the order’s Actions menu. That option will automatically void the postage rate paid and set the Unshipped status to the order.

The Void Postage & Unship Order option will appear once the order has been shipped.

Refund a Hayneedle Order

To issue a Refund on returned items, follow the steps below.

  1. Go to Orders > Manage Orders > Open an order.
  2. In the upper right, click Actions, and select Issue Refund. The option will appear after a payment has been applied to an order.
  3. Enter Refund details.Issue a Refund to Hayneedle, d
  4. In the Operation Type field, select the payment method applied. If issued a check, enter the relevant Check Number under the Other Info  For other methods, you can optionally add the number of the associated document.
  5. In the Amount To Refund field, enter the total amount to be refunded. This defaults to the Total Amount Paid.
  6. Select theRefund Date according to when the operation will be logged. This defaults to the current date.
  7. Optionally, select the Add Refund Amount As Discount To Order checkbox to apply the discount by the refunded amount.
  8. In the Notes field, briefly explain why the payment is being refunded. Click the Issue Refund button.
  9. Once processed, Sellercloud will send the new Order Payment Status to Hayneedle through the integration API.

Cancel a Hayneedle Order

Hayneedle orders can only be canceled from the Hayneedle seller portal. Then, you can mark such order as canceled within Sellercloud and prevent its shipping. To do that, follow the steps below.

  1. Access Orders > Manage Orders > Open an order.
  2. In the upper right, click Actions, and select Set Cancelled Internally.Cancel Hayneedle Order
