Hayneedle Account Integration


Overview

Hayneedle is an online store dedicated to home furnishings and improvement.

In this article, you will learn how to integrate your Hayneedle and Sellercloud accounts in order to update product listings on the store site and manage Hayneedle orders directly from the Sellercloud interface.


Integrate with Hayneedle

To integrate your Sellercloud and Hayneedle accounts, you will first need to for Hayneedle. Completion of the Hayneedle Trading Partner Onboarding Sheet is required.

Hayneedle integrates with suppliers via EDI files transmitted to specialized FTP sites. Each client will need to contact Hayneedle and provide them with their unique Customer ISA information (Qualifiers/ISA, Connect Method, 3rd Party Vendor). Only after that occurs will Hayneedle provide the client with a Supplier ID.

Note: The Hayneedle integration requires VAN connection. You can read more about how to request an FTP or a VAN (Value-Added Network) here.

Adjust Hayneedle Settings in Sellercloud

  1. Go to Settings > Companies > Manage Companies.
  2. Select the requested company.
  3. Click Toolbox, navigate to Hayneedle, and select General Settings.Hayneedle Integration Settings
  4. In the upper right, click Edit.
  5. Select the Hayneedle Enabled setting.
  6. Enter the following ISA Qualifiers and IDs.
    SETTING VALUE
    Customer ISA Qualifier ZZ
    Customer ISA ID This is an arbitrary number. Typically, the client’s phone number is used.
    Hayneedle ISA Qualifier
    Provided by Hayneedle
    Hayneedle ISA ID  001658520 (use 001658520T for testing)
    Hayneedle Seller ID 01
    Supplier/Warehouse ID Provided by Hayneedle
  7. Enter the FTP credentials. This will be supplied by Sellercloud Support. Click Actions, and select Test FTP Credentials.
  8. Save the settings changed.
  9. Once finished, you will need to test the integration. To do so, upload tracking and inventory information and acknowledge a test order.

Hayneedle Settings Explained

Sellercloud allows you to configure specific settings to automate order management and product updates for Hayneedle. The table below provides details about the settings and actions available for each individual company.

Hayneedle General Settings

SETTING DEFINITION
Order Handling Fee The total amount charged to a customer, including expenses on warehouse storage cost, shipment costs, packing costs, etc.
Order Handling Fee Is Per Item Select the option to add an Order Handling Fee to each item in an order
Order Defective Allowance The amount deducted in case an item arrives damaged. This should reflect the defective allowance arranged with Hayneedle and will be included in the 810 Invoice.
Login Email Email used to log in to Sellercloud
Login Password Password used to log in to Sellercloud
Safety Qty The Safety Quantity is the buffer between the amount of inventory you have in stock, and the amount you are sending to the channel. E.g., if there are 3 units available in stock, and the Safety Quantity is set to 1, only 2 will be sent to the channel.
Default Qty The Default Quantity is the amount of inventory that will be sent to the channel in inventory updates regardless of the actual available inventory. This setting only applies to Replenishable products.
Enable Inventory Upload When enabled, this setting updates the inventory data on the channel on an automatic basis
Enable Invoice Upload When enabled, invoices Hayneedle for each shipped order
Enable Order Download Allows Hayneedle orders to be imported into Sellercloud. Once enabled, orders will download approximately every hour. Note: Make sure that shipping method mapping is also configured when using this setting.
Enable Order Functional Acknowledgement When enabled, informs Hayneedle that the order has been received
Enable Order Acknowledgement When enabled, informs Hayneedle that the order will be shipped
Enable Order Fullfillment Upload When enabled, sends tracking info to Hayneedle automatically
Requires Third Party Shipping When enabled, will require that Third Party Shipping be used for the order’s delivery

FTP Settings

SETTING DEFINITION
Server Stores the name of the appropriate FTP server
Username Username to access the FTP server
Password Password to access the FTP server
Port FTP server port number
Use Passive Enable this setting to use passive FTP
Delete FTP Files After Processing Enable this setting to remove FTP files once processed
Use Secure FTP Allows you to use Secure FTP, if required

Test FTP Credentials Use to verify the FTP credentials provided
Download Full Inventory Update Use to update inventory on the channel in bulk

Complete Sellercloud Hayneedle settings.

  1. Company Settings > Toolbox > Hayneedle Settings.
  2. Enter the following ISA Qualifiers and ID’s.
     Customer ISA Qualifier  ZZ
     Customer ISA ID  This is an arbitrary number. Typically, the client’s phone number is used.
     Hayneedle ISA  01
     Hayneedle ISA ID  001658520 (use 001658520T for testing)
     Supplier ID  This should have been provided to you by  Hayneedle
  3. Enter the FTP Credentials. This will be supplied by Sellercloud Support.
  4. Test your credentials from the Action menu.
  5. Configure your settings— Handling fee, Safety Quantity, Default Quantity as desired. Note: See instructions about setting co-op fees here for dropship.
  6. Enable the Upload and download options when you are certain that the products you are uploading to Hayneedle are properly priced and have an accurate inventory.
  7. Check the Hayneedle Enabled checkbox.

Hayneedle Testing
Before going live with Hayneedle they will request you to upload tracking and inventory and also acknowledge a test order. Complete this process after following the steps above.
