eBay Listings Management


Overview

Learn how to prepare a product for listing on eBay, as well as post and update products and variations in Sellercloud.


Prepare a Product for eBay

Before posting a listing, make sure that your product is ready for eBay. This is done by entering the minimum information required by the channel and enabling eBay on the product eBay Properties page. Products that are not enabled are considered to have a quantity of 0 in terms of eBay inventory feeds.

  1. Go to Catalog > Manage Catalog > Select a product.
  2. On the Product Details page, go to Toolbox > eBay Properties > Edit.
  3. In the General panel, select Enabled. eBay enabled

List on eBay

Sellercloud allows you to list products on eBay both individually and in bulk.

Individually

  1. Go to Catalog > Manage Catalog > Select a product.
  2. In Toolbox, go to eBay Properties > Actions > List on eBay.eBay list individually

In Bulk

  1. Go to Catalog > Manage Catalog > select products.
  2. From the action menu, select Launch on Channel > eBay > Launch.eBay launch list

Post Variations on eBay

In Sellercloud, you can easily post variations to eBay. You need to prepare (ready to post) the Matrix Parent. The variation children do not need to be prepared in order to post them.

When listing the matrix parent, all variations connected to it will also be posted to eBay. After a matrix is posted, you cannot add new variations unless you end the listing and relist the matrix.

  1. Go to Catalog > Manage Catalog > Select a product.
  2. On the Product Details page, go to Toolbox > eBay Properties > Edit.
  3. In the Listing Details panel, click Manage Variation Details.
  4. On the variations page, edit the fields if necessary > Save.
    1. BIN and Fixed Price Qty will default to the values on the children’s eBay Properties.
    2. Thumbnail images on eBay will be created from the matrix parent images (Description and Supplemental), as well as from the variation image selected on the Matrix Image Manager page. Learn more about matrix images.
    3. By default, the first dimension of the matrix will determine which image is sent to eBay. However, you can overwrite this on the Matrix eBay Manager page by selecting a dimension from the action menu or adding an image manually to the matrix child.
  5. To list the variations, click Actions > List on eBay.

Update eBay Listings

In Sellercloud, you can manually update eBay listings, both individually and in bulk.

Individually

You can update eBay listings individually from the eBay Properties page.

  1. Go to Catalog > Manage Catalog > Select a product.
  2. On the Product Details page, go to Toolbox > eBay Properties > Actions.
    1. To update a specific product attribute, choose the attribute you want to update.
    2. To update all listings, select Revise All Listings.eBay update attributes

In Bulk

  1. Go to Catalog > Manage Catalog > Select products.
  2. From the action menu, select Update Inventory on Channel.
  3. From the dropdown list, select eBay > Select products > Update.eBay bulk update

Getting eBay inventory quantities from an active listings report

 

Sellercloud automatically requests active listings reports from eBay and you can use that report to see the inventory currently listed there. The report is in XML format, making it easy for the computer to read. You can follow these steps to download the report:
  1. Download the report from your Sellercloud account by going to SettingsCompany Name > Toolbox > eBay Settings > Large Merchant Service Jobs.
  2. Click “Request New Report”, select “ActiveInventoryReport” and click “Request Report“. The system will return you to the job page, where when the job is complete, you can download the XML from the Response column. If it’s incomplete, you can query the status of the job.
  3. When the job is completed, click the response link from the grid.

Understanding Fixed Price listings

eBay offers sellers the ability to post Fixed Price listings to their eBay stores. This lets buyers purchase individual or multiple items immediately at the set price. Unlike an auction, buyers cannot place bids on Fixed Price listings.

Before posting your listings to eBay, make sure your product is ready for eBay.

When posting your listings, you must:

  • To post individually, go to the product’s eBay Properties page > Select Action > List on eBay > Go.
  • To post in bulk, go to Manage Inventory > Select products > Select Action > Launch on Channel > Go > Select Channel > Continue.
You can also import your Fixed Price listings from eBay into Sellercloud. When importing variations, each variation must have a custom label to import properly.

Listing out of stock

By default, listings that do not have quantity will be removed from eBay. However, eBay introduced an Out of Stock feature. When the item is out of stock, the listing will be hidden from search results until it gets back in stock.

Activate eBay Out of Stock
The Out of Stock is a global setting in the Site Preferences on your My eBay portal. When that option is enabled, all of your listings will display as Out of Stock when the quantity is zero. Log into your eBay account > My eBay > Summary > Account > Site Preferences > Enable Yes for Use the out-of-stock-option.

Posting variations to eBay

In Sellercloud, you can easily post variations to eBay. You need to prepare (ready to post) the Matrix Parent. The variation children do not need to be prepared in order to post them.

  1. Open a matrix parent > Toolbox > eBay Properties.
  2. Complete the values of the parent as the listed product > Click Manage Matrix. BIN and Fixed Price Qty will default to the values on the childrens’ eBay Properties’.

  3. When done, Select Action > List on eBay.

Updating listings

Listings can be updated manually or in bulk in Sellercloud. When editing or revising listings in bulk, you can filter products by eBay using the eBay mode filter. Simply go to the Manage Inventory page and use the Advanced Search > Mode > eBay.

To remove a listing from eBay, use the action End Listing.

Sellercloud offers the ability to audit your eBay listings for any duplicates to steer you clear of any eBay violations:

  • Open a Company > Toolbox > eBay Settings > Duplicate eBay Listings

Manual updates

In order to update eBay listings, you must revise the product’s attributes. Click here to view a list of these revisable attributes and where you can initiate the update.

From the product’s details page

  1. Open a product > Toolbox > eBay Properties.
  2. Select Action > Revise All Listings > Go.

From the Manage Inventory page

  1. Go to Manage Inventory > Open the Advanced Search > Mode > Select eBay Search.
    • You can narrow the search to filter specific products. For example, filtering for products that are Posted and Active on eBay.
  2. Select a product > Select Action > Edit eBay Details Go.
  3. Edit your desired fields > Save.

Bulk updates

There are three ways to bulk eBay attributes on multiple products:
  • Edit eBay Details
  • Bulk Edit

The first two options can be accessed from the action menu of the Manage Inventory page when set in eBay Mode.

  1. Go to Manage Inventory > Open the Advanced Search > Mode > Select eBay Search.
  2. Select your products > Select Action > Bulk Edit > Go.
  3. Below the grid are eBay properties fields that can be bulk edited. They are:
    • eBay Enabled
    • Start Price
    • Buy It Now Price
    • Reserve Price
    • Fixed Price Qty
    • Safety Qty
    • Enable Get it Fast
    • Enable Best Offer
    • Generate Fixed Price item
    • Maintain Fixed Price Qty
    • Enable Global Shipping Program
    • Enable Out of Stock Listings
    • Enable Extended Holiday Return
    • eBay Category 1
    • Max Dispatch Time
    • eBay Category 2
    • Store Category 1
    • Store Category 2

  4. When finished, click Update.
    • Before updating, make sure to select the fields you will be editing and that the remaining blank fields are unchecked. If a blank field is checked, those attributes will be erased on the products during the update.
You can also revise your eBay listings. On the Manage Inventory page, select the updated products > Click Select Action > Revise on eBay GO.
When revising all eBay products, the Max Records field must be set to include the quantity of SKUs. In the image above, the Max Record (located right above the Mode field) is set to 100, but it can be set to 100,000. Revising 10 or more products will schedule a queued job and process in the background so you can continue working without interference.

Understanding eBay listing defaults

If you have opted into eBay Business Policies, you should manage your payment and return policy by downloading and assigning policies to products. This will be mandatory for sellers who have opted into the Business Policies feature.

eBay requires certain payment options and the return policy to be included on individual listings. On this page, you can set the default accepted payment methods, return policies, and other listing policy defaults. When a product is posted to eBay from Sellercloud, the information on this page will be applied to the listing. The defaults can be overridden on eBay Properties for a specific product. To access:

  • Click eBay Settings > eBay Listing Defaults.

The PayPal email address and return policy are required fields for listing on eBay. Please note the email address entered here must match the email address entered on the PayPal settings page. If a different email is entered and products are posted, payment will not be applied to the orders for those products. Listing defaults include:

Using eBay item conditions

eBay uses condition IDs to identify the conditions of products across categories and subcategories. Note that the display names of supported conditions will vary in different categories. You can view eBay’s item conditions here. The following are commonly used condition IDs:

  • 1000— New
  • 1500— New other
  • 1750 — New with Defects
  • 2000— Manufacturer-refurbished
  • 2500— Seller-refurbished
  • 3000— Used
  • 7000— For parts or not working

The column header for bulk-update is EBayItemCondition.
