Tax Collected by Transaction

Overview

In this article, you will learn about Sellercloud’s Tax Collected by Transaction report. This report shows the tax collected on debits (sales and payments) and the tax refunded on credits (refunds) for order transactions within your chosen filing period or date range. It also includes information about the location, channel, and customer details.

This only includes transactions from orders that shipped within the US, have a US country code, and whose code strictly matches one of these valid code formats. Orders with valid country codes, but invalid zip codes, appear as follows:

  • State and County reports – as “N/A”
  • Transaction report – as a viable order (but City/County/State will be “N/A”)

You can see the following:

  • Transaction Information: Transaction Type, Order Number, Trans Date, Order Date, and Pending Settlement.
  • Sales and Revenue: Grand Total, Taxable Sales, Non-Taxable Sales, Tax Rate, Tax Collected, Paid by Channel, Tax Due, Shipping, Subtotal, Discount.
  • Location Information: State, City, County, Province, Address 1, Address 2, and Zip.
  • Channel and Customer Information: Channel, Channel Order Number, Company, and Ship From Warehouse.
You can run this report automatically on a regular basis with Scheduled Tasks.

Access and Customize the Report

To use the report, follow these steps:

  1. Navigate to Reports > Transaction > Tax Collected by Transaction.
  2. Set up the Default and Custom filters to have the report show precisely what you need.
  3. Click Search. Each filter you apply gets highlighted in green. If a filter is gray or not displayed at all, it’s not active.
  4. To manage the columns in the report, click the three dots icon on the top right and select Customize Columns. You can:
    1. Reorder columns by dragging them up or down in the list;
    2. Hide columns by clicking the Trash icons;
    3. Add columns by clicking Add column.
  5. To sort the data differently, use the Sort by menu.
  6. To save your filtering and sorting options, click Save view, type a Name and click Save.
  7. To export the full report to a spreadsheet, click Actions on the bottom right and select Export to Excel. Spreadsheets include all columns, including those hidden in the report.

Filter and Column Definitions

Click the drop-downs below for filter and column descriptions.

Default Filters
FILTER DESCRIPTION
Company Include only transactions from one or more companies.
Channel Include only transactions from one or more sales channels.
Filing Period Include only orders with collected or refunded taxes reported in one of four specific quarters, or include orders with taxes reported within a custom filing period (choose start and end dates below).

Note: Use a custom filing period if your fiscal year does not run from January to December.

Date Enter the Start and End dates. For a single date, choose the same Start and End date.
Custom Filters
FILTER DESCRIPTION
Accounting Basis Choose between:

  • Cash – Show Cash Profit and Cash Profit Margin in the report.
  • Accrual – Show Accrual Profit and Accrual Profit Margin in the report.
Company Groups Include only products from one or more company groups.
Country Include only specific countries.
County Include only specific counties.
Order Number Include only one or more specific orders by order number.
Province Include only specific provinces.
State Include only specific states.
Summarize By Choose how to summarize sales in the report. Your choice will determine the report’s first column.
Report Data
COLUMN DESCRIPTION
Transaction Type
  • Order transactions – These are listed as Debit or Credit
  • Non-order transactions – These are listed individually by transaction type; for example, Warehouse Lost, Warehouse Damage, FBA Disposal Fee, FBA Inbound Shipping Cost, Product Ad, etc.
Order Number Shows the Sellercloud order number.
Transaction Date Shows the date when the transaction occurred.
State Shows the customer’s state.
City Shows the customer’s city.
County Shows the customer’s county.
Province Shows the customer’s province.
Grand Total Shows the total amount of the order, calculated as such: (Subtotal + Shipping Total + Handling + Insurance + Gift Wrap + Tax) – (Discount + Shipping Discount).

Note: Only shown if you set the Accounting Basis custom filter to Accrual.

Taxable Sales Sales with tax collected. This amount is the order’s grand total minus the tax collected.
Non-Taxable Sales Sales with no tax collected. This amount is the order’s grand total.

Tax Rate – Shows the tax rate on the order’s ship-to-state. This only populates when the order tax rate is provided to Sellercloud.

Tax Collected Shows the total tax amounts of the transactions. Includes taxes paid by the channel.
Paid by Channel Shows marketplace facilitator tax, which are collected-and-remitted sales taxes for certain states. Subtract this amount from the Tax Collected to obtain your Tax Liability.
Tax Due Shows the tax due: Tax Collected minus Paid by Channel.
Address 1 Shows the first line of the ship-to address on the order.

Address 2 Shows the second line of the ship-to address on the order.

Channel Shows the order’s sales channel.
Channel Order Number Shows the channel-specific order number.
Company Shows the company.
Discount Shows the amount of any discounts applied to the order.
Order Date Shows the date when the order came in.
Pending Settlement Shows any pending settlement amount.
Ship From Warehouse Shows the warehouse from which the product shipped.
Shipping The amount paid for shipping the order.
Subtotal Shows the total amount of the items before discounts, tax, shipping, etc.
Zip Shows the customer’s zip code.
API Tax
This column only appears if Enable Tax API Per Channel PerState is turned on in your Client Settings. In addition, using TaxJar requires the Windows TaxJarService to run on your server (contact Sellercloud Support to confirm).
