Email Templates

Understanding email templates

Email templates can be used for standardized emails that can be sent manually or automatically based on certain events that trigger the emails to be sent. You can also test out the email templates from the action menu on that page.
Email template are configured under Company Settings > Email Settings > Email Templates.
A template can be edited using the WYSIWYG editor and can include images and fonts as an HTML email. Placeholders can be set in the template to be replaced with information from the recipient or related order etc. Common placeholders are:

Images can be added to the Template using the Image Editor on the tool bar.

  • From the SMTP Profile dropdown on each template, you can select from which email account you want the email to be sent through. Read more about SMTP here.

Assigning a template

This section only applies to Sellercloud’s original interface. Email template assignments do not apply to the Delta interface.

Sellercloud can either send emails automatically or they can be triggered by a user’s action. After creating one these email templates, you can assign it to a particular event or trigger.

In some cases, you also must enable a Client Setting before one of these emails can be sent. Refer to the respective email templates below.

To assign a template after creating it:

  1. Open your Company Settings.
  2. Click Toolbox > Email SettingsEmail Template Assignment.
  3. Select your desired template(s), as listed below. You can also click Action MenuTest Templates, if desired.
  4. Click Update Grid.

Assigning an email template per channel

Sellercloud also lets you assign email templates to channels as well. With this helpful feature, you can organize your templates according to your channel needs.
Enable Email Templates Per Channel must be checked in the Client Settings.
To assign a template per channel:
  1. Open your Company Settings.
  2. Click Toolbox > Email Settings > Email Templates Per Channel.
  3. Select the Email Type, Channel, and Template from the drop down menu.
  4. Click Add to Email Template Per Channel.

Amazon templates

AmazonOrderRefundFailure

Below is a sample template that can be used to receive failure notification and error responses from Amazon for a refund failure. The placeholders will pull the response from the Amazon uploaded documents. The template must be assigned to the AmazonOrderRefundFailure for the template to be sent to your inbox.

If the general AllAmazonDocumentFailures template is configured, it will pull responses for order refunds as well (you will only receive the AllAmazonDocumentFailures email.)
Please Note: The Global APP setting AmazonDocumentQueryDelayInSeconds must be enabled. This setting can be enabled by SellerCloud Support.

Below is a sample template that can be used to receive failure notification and error responses from Amazon for an order cancellation failure. An email can be automatically generated when the status of an FBA Inbound Shipment changes.

Create a template and select it on the FBAShipmentStatusChanged email template assignment.
When creating the shipment, check the Enable Email Alert box. Then enter an email address.
  • If the provided email address is in the system, then system will pick user record for that and use that to populate First Name and Last Name in template. Otherwise, only email address will be used (even for first and last name).

Below is a sample order welcome template that can be automatically generated and sent to the customer.
  • The email will only be sent to channels that have been enabled for Order Welcome emails. Channel can be enabled on the Email Rules page.
  • Template must be selected on the OrderWelcome Template assignment.
  • The sample includes eBay related order info. Remove in templates used for other channels.
  • In order to send Order Welcome emails for unpaid wholesale orders, the client setting “Send Order Welcome email for WholeSale Unpaid Orders” needs to be enabled.

Order With No Cost Available

Client setting Order Profit & Loss Calculated Using: configures what value with be used to determine the item cost on the order:

  • Average Cost
  • Site Cost
  • PO Last Cost
An email can be generated automatically when an order downloads with an item that does not have the cost set in the client setting. For example, if its set to “Avg Cost” and the item in the order does not have an avg cost an email will be sent out. The email will be sent to the email address on the company settings page and to anyone cc’d on the email template.
Create template and select on Order With No Cost Available email template assignment.
Split Order

This template can be used to inform that an order as been split.

By default, the email will be sent to the email address set on the template. It is not used for informing a customer that the order is split. However, client setting Split order email send to customer  can be turned on to send the email to the customer as well.

Select the template on the Split Order Email Template Assignment.

This is to let you know that order ID #?SplittedFromOrderID?#  has been split into ?#OrderID?#.

OrderShippedConfirmation Replacement Order
An email can be generated and sent to a customer after a replacement order is sent.
While replacement orders can be included in the regular shipping confirmation email, this option is particularity important for replacement orders for orders originating at Amazon. Because Amazon places restrictions on the content of any email sent from the seller to the customer, shipping confirmation emails are typically not sent for Amazon orders. Instead Amazon sends an email directly to the customer to confirm shipping.
However, replacement orders for Amazon pose a particular problem. Because the order will retain the ordersource as “Amazon”, it will be excluded from the regular shipping confirmation emails. However, the OrderSourceOrderID is not saved to the replacement order. Hence, shipping notification is not sent to Amazon and the customer won’t get a notification shipping from Amazon.
This template assignment resolves the issue by sending email confirmation to the customer for any replacement order including Amazon orders.

This sample email can be used to proactively contact a customer who has not received their order.  When SellerCloud receives an “Undeliverable” status from the carrier, that would trigger this email to be sent to the customer.

  • Template needs to be assigned to the Order Undelivered email template assignment.
  • Email rules must allow this email. This is a per channel setting on the company level.
  • Tracking delivery date must be configured

Order Send Email Default

Sellercloud has outgoing email capabilities which enable generating emails to customers such as feedback requests and shipping notifications. Email templates can be constructed to populate automatically with customer information using placeholders, and rules can be set up to determine when emails will or will not be sent.
Please note: By default, Order Welcome emails will only be sent for eBay or Local/Website orders. This is because a number of channels, including Amazon, Buy.com, and Newegg, restrict certain content on emails to customers, mainly content that can be seen as solicitation of business outside of the channel. This includes having your web address anywhere in the email, even as part of the signature. However, order welcomes can be sent to all channels by enabling the client setting Send Order Welcome Email for all channels. Then, you can control each channel individually by blacklisting emails to specified domains.
Emails can also be sent manually to customers from the order detail page. Open the Action Menu and click “Send Email”. You can use the Show or hide Orders list to display or hide the order. Now enter a message or select an email template from the template drop down. You can also add any attachment to the email, like a coupon for future orders.
To send emails to multiple customers, like to direct purchasers of a specific item to download a manual from a link you include in the email body, select those orders from the Manage Orders page. Then click “Send Email” from the Action Menu. Complete a single email and click “Send”, and an email will be generated for each order selected.
Configuration for outgoing emails is done under the Email Settings tab on the Settings tab.
SalesRepAssigned
Orders can be assigned to sales representatives. This is typically done when there is an issue with the order. On the Edit Order page, you can select a user from the Sales Rep dropdown. You can add a customer service note to the order for the rep to review.
Using the template below, the sales rep will receive an email informing them that they have been assigned to the order.
Select the template on the SalesRepAsssigned email template assignment.

Reminder To Vendor

Configuring Email Reminders for Drop Shipped Orders

Sometimes, a vendor may not drop ship an order on time. You can configure Sellercloud to automatically generate an email to the vendor as a reminder to fill the open order. The email generation is a per vendor configuration where you can set different times and different email templates for each vendor.

  1. Enable Client Setting Enable email reminders for Dropship Orders.
  2. Set client setting DropShip Status for Order to Send Reminder to the dropship status at which an email can be set. Typically, this should be set to “Requested” or “Acknowledged”.
  3. Configure the time to send email per vendor
  4. Create an email template. See sample below.
  5. Navigate Settings > Company Settings > Toolbox > Vendor > select a vendor >  Dropship Preferences.
  6. Enable setting Enable Reminder emails for Dropship Orders.
  7. Enter an amount into the “Send reminder in Days” field.
  8. Select an email template.
  9. Press Save. (SMTP Settings must be configured.)
  10. The email will be sent to the vendor email address on the vendor settings page.

An email can be generated when a tracking document fails to upload. Currently, this email works for:

  • eBay
  • Newegg

The email will be sent to the email address on the company settings page and anyone copied on the email template.

Emails can be generated and sent when a PO status changes, for example to “Received”. The email can be sent to the PO creator and to the buyer. Follow these instructions:

  1. On the Purchase Order Defaults page there are options to send emails to the purchaser/buyer of items in the PO and/or to the PO creator. You can add other addresses.
  2.  Create a template.
  3. Assign the template to the “POChanged” email template assignment.

Queued job and task templates

Task Execution Failed

Below is a sample template that can be used to inform that a scheduled task has been completed. The recipients email address must be set on the task and email alerts must be enabled. Template must be assigned to the template assignment Task Execution Failed. Client setting Enable Task completed Email alerts must be enabled.

Task Execution Completed

Below is a sample template that can be used to inform that a scheduled task has been completed. The recipients email address must be set on the task and email alerts must be enabled. Template must be assigned to the template assignment Task Execution Completed. Client Setting Enable Task completed Email alerts must be enabled.


The scheduled task #?JobType?#
has been completed as queue job #?QueuedJobID?#.

Queued Job Failed Service Restarted

The queued jobs run on a Windows service. If the window service is turned off for a server update, for example, the queued job will stop. When the service is turned on, the job will not restart automatically. Instead, the job will get a status of  “Cancelled Service Restarted”. You can then manually restart the job from the Queued Job main page.

You can receive an email informing of any job that has failed with a service restarted status.
Template must be selected on the “Queued Job Failed Service Restarted” email template assignment.
Email will be sent to the user who executed the job.

Queued job #?QueuedJobID?# has been stopped because the service has been turned off. The service has been restarted.

You can restart the queued job from the main queued jobs page.

RMA templates

RMACreated

This email can be used to notify that an RMA has been created. Use it with the RMACreated email template assignment. The email will be sent to the customer email address on the order.

An email address can be cc’d on the template to notify someone else, like a manager, that an RMA has been created.

 

A separate template can be created for RMA Status updates.

RMAStatusUpdated

This email can be used to notify that an existing RMA has been updated with a resolution i.e. – Refund, Exchange etc…

Use it with the RMAStatusUpdated email template assignment. The email will be sent to the customer email address on the order.

An email address can be cc’d on the template to notify someone else, like a manager, that an RMA has been updated.

A separate template can be created for new RMA creation called RMACreated.
You can also create separate templates based on the RMA Status. You can assign them to email template specific to a status update:
  • RMAStatusUpdated Refund
  • RMAStatusUpdated Replace
  • RMAStatusUpdated Reject
  • RMAStatusUpdated Exchange
  • RMAStatusUpdated Repair
  • RMAStatusUpdated Receive
